[15:00:20] [connected at Thu Jul 1 15:00:20 2021] [15:00:20] [I have joined #xf-bod] [15:01:22] <Lyude> Hi everyone! Let's start with roll-call ( danvet, anholt, keithp, mdnavare, hwentlan ) [15:01:40] <mdnavare> Hi everyone! [15:02:07] <danvet> hi all [15:02:47] <Lyude> cool :), we've got quorum. So on the agenda for today: X.org/freedesktop.org domain status, requesting ledger data, XDC2021 invoices status, XDC2021, XDC2022, XDC2022 sponsors, HDMI 2.1, GSoC/Outreachy/EVoC, sharing of non-redistributable game traces within X.org members, equinox meeting, status from fdo admins, and getting SPI to have a standard conf contract [15:03:08] <Lyude> I can start with requesting ledger data and GSoC/Outreachy/EVoC: [15:03:14] <danvet> xdc22 sponsors is about half a year too early :-) [15:03:30] <danvet> but maybe that's what I need ... [15:03:34] <Lyude> ah whoops! *XDC2021 sponsors [15:04:09] <Lyude> so requesting ledger data: No updates from my end, only just started to get some free dome from work to look into my backlog of TODOs [15:04:19] <Lyude> GSoC/Outreachy/EVoC: Finally [15:04:21] <Lyude> ...oops [15:04:28] <Lyude> *Finally started going through my backlog of TODOs, currently in the process of writing up the letter to send out X.org/freedesktop.org mailing lists regarding this [15:05:19] <Lyude> Oh, and I can provide a status update for the equinox meeting as well: Mark Filion is out on PTO, so no new info here [15:05:45] <Lyude> Also got one other thing I should go over as well, the status update that we got from the fdo admins today that they wanted us to mention in the meeting: [15:06:01] <Lyude> We [fdo admins] migrated to a brand new cluster with 6 nodes, and the new cluster has a redundant control plane which means that we can take down any server without losing data/service. The new cluster also is hosting all of our data in house, except for the registery (there is a mirror to try to slightly reduce that GCP bill). [15:06:04] <Lyude> The data hosting was a bit problematic, we eventually found a reliable solution but had a bumpy week where we lost all of the artifacts (job logs and job data from CI). We finally are on a nominal number of servers, FTR: 3 c2-medium for k8s control plane, 3 s1-large for k8s + data hostingf, 1 m1-xl for minio-packet.fd.o, 3 m1-xl for gitlab runners, 2 arm for gitlab runners. And [15:06:06] <Lyude> finallythere's a $13,500 bill for this that Equinix is completely covering. [15:06:08] <Lyude> Future plans: get back that m1-xl machine from minio-packet.fd.o to re-addf a 4th x86 runner. [15:07:00] <Lyude> that's pretty much all from my side. mdnavare do you want to go over invoices? [15:08:08] <mdnavare> Yes [15:08:21] <mdnavare> SPI confirmed Collabora's payment [15:11:07] <mdnavare> thats all I had for invoices, need to send invoice request to Linux foundation [15:11:08] <Lyude> mdnavare: is that all from your side? [15:11:18] <Lyude> ah ok, sure thing [15:11:42] <Lyude> samuelig: do you want to go over XDC2021/2022? [15:11:53] <samuelig> yup [15:12:42] <samuelig> XDC 2021: there are several topics to cover :) Don't tune another channel! [15:12:57] <samuelig> Gitlab asked for our logo to use in their conference, following our sponsorship agreement. Which logo do we want to use? The X alone? or the X.Org Foundation logo? +1 X.Org Foundation logo, -1 X logo alone, 0 abstention. [15:13:04] <samuelig> +1 [15:13:39] <Lyude> +1 for the X.org foundation logo [15:14:05] <Lyude> danvet, mdnavare ? [15:14:47] <danvet> oh sry [15:14:51] * danvet got distracted [15:14:52] <samuelig> X.Org Foundation logo is -> https://www.x.org/wiki/logo.png [15:15:18] <danvet> +1 [15:15:21] <samuelig> X alone is -> https://gitlab.freedesktop.org/xorg/doc/xorg-docs/-/blob/master/misc/xlogo.svg [15:15:53] <samuelig> of course I need to get the original source file for X.Org Foundation logo, keithp is working on it. [15:17:31] <Lyude> mdnavare: ? [15:18:08] <samuelig> while waiting for mdnavare to vote, let's talk about the rest... too many things to cover today :) [15:18:15] <Lyude> yeah - I was about to say [15:18:19] <samuelig> Some XDC 2021 talk stats: 8 full-slot talks, 3 half-slot talks, 1 lightning, 0 workshops, 0 demos. We have sent a reminder last weekend via email, and today on twitter. [15:18:27] <samuelig> If this trend continues, we won't fill all the slots by the end of the deadline... like it happened last year. That means that we would need to extend the CFP until: [15:18:33] <samuelig> a) We fill all slots like happened last year. [15:18:37] <mdnavare> Oops sorry +1 from me [15:18:37] <samuelig> b) We reach a given deadline (September 1st for example? Conf is 15-17 Sept), because this year the plan is to have all talks pre-recorded and we need to give some time to speakers to record themselves. [15:18:46] <samuelig> I'll discuss the actions and ask for a vote about what to do if we extend the CFP in board@ mailing list with the organizers in CC. [15:19:11] <Lyude> mdnavare: thanks! looks like we have the logo now [15:19:38] <samuelig> great! keithp if you have the svg at hand, please send it to me via email [15:19:49] <samuelig> That reminds me that we are also setting up the CFP Committee. We have onboard: Lyude, mdnavare, danvet and myself from the board (Thanks a lot!!!!); and two people (to be determined) from organization team. [15:20:03] <samuelig> If any other board member would like to join the CFP Committee, just let me know: the more, the merrier :) As you see, if things go as expected, little work from us ahead ;-) [15:20:25] <samuelig> Regarding the conference organization, I talked today with Radek about the current status. [15:20:32] <samuelig> They are still deciding about the platform to use: if keeping jitsi+youtube like last year, or try big blue button given the good opinion that many of us had since last year about it. They are going to ask to organizers of other conferences about their experience setting it up and they will decide then. [15:20:34] <mdnavare> samuelig: Looking forward to helping out with the reviewing [15:20:53] <samuelig> Finally, about the speakers document, it seems it is done but I have not received the final version yet to review it. I'll ping Radek about it. [15:21:00] <samuelig> mdnavare, thanks a lot! [15:21:31] <samuelig> That all for XDC 2021. I'll wait for questions/comments for one minute before continuing with XDC 2022. [15:21:42] <Lyude> no questions from my side [15:22:09] <Lyude> (also if we're the only ones here jfyi, we're still on good track to have enough time to talk about everything thus far) [15:22:10] <danvet> samuelig, thx a lot for doing all this [15:22:47] <samuelig> np :) [15:22:55] <samuelig> Let's talk about XDC 2022: I sent a reminder of the Request For Proposals, as we have still 2 months ahead before the end of the deadline. [15:23:12] <samuelig> I got confirmation that one company will bid for sure, which is great. I heard interest from other some time ago, but I had no news from them since then... so let's hope this year we have more than one option to choose from. [15:23:39] <samuelig> If you know somebody with real interest on organizing XDC 2022, just tell them to contact me privately. [15:24:00] <danvet> samuelig, the one that's committed, do they plan to submit ahead of the deadline? allows us to ask questions and stuff if that's needed ... [15:24:22] <samuelig> danvet, I think so. They asked me about the kind of info we expect in the submission [15:24:37] <samuelig> but I am going to ask them directly to be sure [15:27:05] <samuelig> done. let's see what they reply [15:27:24] <Lyude> danvet: I think the rest of the stuff is for you now, XDC2021 sponsors and Getting SPI to have a standard conf contract [15:28:15] <danvet> yeah xdc21 sponsors [15:28:22] <samuelig> BTW, I just got an email from gitlab asking to fill the sponsor form they have for Gitlab Commit conference. I'll fill it as soon as I get the logo (keithp) [15:28:36] <danvet> finally got a bit unstuck and sent out mails to all the remaining sponsors from xdc20 that I haven't gotten around to [15:28:49] <danvet> one more already committed, I'll heckle the others [15:29:13] <danvet> one thing that's come up again is that we don't have a standard contract, iirc we poked spi about this previous years, maybe worth doing again [15:29:48] <danvet> I could type a mail to spi board/president if folks think it's worth a shot [15:30:08] <Lyude> danvet: yeah if you could that'd be a big help [15:31:06] <samuelig> danvet, yeah, I think this is something needed for long time. thanks for taking care of it! [15:31:18] <keithp> samuelig: right, I'll get that done [15:31:37] <samuelig> keithp, thanks! [15:32:40] <Lyude> danvet: if that's all w/r/t to the contract thing then I think we're pretty much finished with this meeting, I didn't see hwentlan so we'll skip the HDMI 2.1 stuff [15:34:05] <danvet> Lyude, oh I have one more [15:34:15] <danvet> xdc2021.x.org domain forwarding is fixed [15:34:23] <danvet> we just use a http redirect now, avoids patching indico [15:34:42] <danvet> also mupuf said he's hoping to have some time for indico next week, maybe that scores us the sponsor box [15:35:16] <Lyude> cool! I will make sure to add this to the minutes [15:36:57] <samuelig> danvet, thx for managing the redirection thing. [15:37:42] <danvet> well I asked mupuf who asked bentiss who actually fixed it [15:40:01] <samuelig> xD [15:42:24] <samuelig> Lyude, we have finished, right? [15:42:37] <Lyude> samuelig: oops - yep [15:42:41] <samuelig> then, I am going to switch my computer off :) [15:42:46] <samuelig> thanks! [16:03:42] <mupuf> danvet: yep, that was a funny chain [16:04:12] <mupuf> to be clear, I have 3 weeks of vacation, and the first one wil be spent on an island. So it might not be done during the first week, but it will be done during the vacation
