[14:01:02] [connected at Thu Mar 11 14:01:02 2021] [14:01:03] [I have joined #xf-bod] [14:01:46] <Lyude> Hey guys! I'm going to start off this time doing role call - samuelig, keithp, mfilion, anholt, who is all here? [14:01:53] <anholt> hi! [14:03:01] <mfilion> \o [14:03:21] <hwentlan> hi [14:04:34] <mfilion> hey we're closing in on 100 members, currently 95! very nice! [14:04:47] <keithp> yay! [14:05:05] <keithp> Fun to see all of the mail messages [14:05:12] <Lyude> okie - that's quorom so we can begin. today on the agenda we have: x.org/freedesktop.org domain status, requesting ledger data (with updates!), XDC2020 invoices status (mdnavare isn't here so I'm probably going to skip this one unless they join), cloud hosting for freedesktop.org, XDC2021/XDC2022, we can skip XDC2022 sponsors as there's no updates with that, HDMI 2.1, and elections [14:05:50] <Lyude> I don't think we've had any updates on the domain stuff, keithp hopefully I wasn't supposed to send any emails? i can't remember who was going to do what the last time we talked about this [14:06:34] <Lyude> for requesting ledger data - I got a response from SPI and it seems like they just need to know what info we're looking for from the ledger, manasi was able to respond to them w/ that [14:06:52] <Lyude> cloud hosting for freedesktop.org - no updates there [14:06:59] <keithp> yeah, I'm not sure what the domain transfer status is either [14:07:16] <Lyude> keithp: would you be up to poking them about it to see what we need to do next? [14:09:05] <keithp> Lyude: yup, will do. Sorry for not being more pro-active about this [14:09:22] <Lyude> np [14:09:57] <Lyude> hwentlan: you're up next for HDMI 2.1 and elections (we'll do the XDC2021/2022 stuff last to give samuelig time to get here) [14:10:38] <hwentlan> got really good comments for the HDMI 2.1 email but haven't had a chance to write v2 yet. will do that before next meeting [14:11:14] <hwentlan> we extended the membership signup period by a week since it looked like not everyone got my early emails [14:11:29] <hwentlan> we seem to have gotten through to people now and have been seeing lots of signups this week [14:11:33] <danvet_> oh I realized it's only now [14:11:36] * danvet_ still can't tz [14:11:39] <danvet_> Lyude, I'm here [14:11:51] <hwentlan> on sunday i will announce the nominees, and a week after we'll start the election [14:12:08] <Lyude> danvet_: oh cool-although I think the sponsors stuff was the only thing you had to go over [14:12:20] <Lyude> hwentlan: sounds good [14:12:56] <mfilion> danvet_ tz? [14:13:00] <danvet_> timezone [14:13:01] <keithp> hwentlan: nice work! [14:13:09] <danvet_> yeah thanks a lot for running election show! [14:13:10] <mfilion> ahh ok [14:13:22] <danvet_> mfilion, I can't even keep track of the timezone I'm in [14:13:27] <mfilion> yeah hwentlan you've been great, thank you!! [14:13:58] <mfilion> speaking of timezones, we're changing here over the weekend, need to remember that for the next meeting lol [14:14:08] <mfilion> (changing times) [14:14:17] <samuelig> o/ [14:15:15] <samuelig> hwentlan, do we have enough nominees to cover all the positions? [14:15:39] <hwentlan> we have 6 nominees [14:15:55] <samuelig> ok, so no need to extend the nominations period, great [14:16:28] <Lyude> samuelig: I think you can go over your items now if you want [14:16:36] <samuelig> ok [14:18:20] <samuelig> XDC 2022: I've sent a bunch of emails to potential organizers. I got replies from two of them saying that they are interested and they will start internal discussions. Let's see if any of them submits a proposal at the end. However, I am happy with the replies, I think we need to keep doing it for future editions [14:19:10] <samuelig> XDC 2021: mupuf_ is still finishing the kubernetes setup, AFAIK. We have set March as deadline to have the website (if not, we will fallback to LWN.net hosting as past years) [14:20:33] <mfilion> samuelig saw your email for 2022 but didn't reply after seeing you had two other possible hosts, will wait to see what comes out of them first [14:21:01] <samuelig> I've been talking to organizers and they are working on a document on all the required things they need to do that we will review and improve. This document will help us to coordinate better and don't forget anything, specially in future events. [14:21:19] <samuelig> mfilion, yeah, I was guessing either that, or you have blocked me :-P [14:22:21] <mfilion> haha never! [14:23:13] <samuelig> other than that, I don't have more news regarding XDC [14:23:25] <samuelig> Lyude, ^ [14:23:38] <Lyude> alright - I actually think that's it for the meeting then, thanks y'all! [14:23:52] <hwentlan> i like https://www.x.org/wiki/Events/RFP/ and the idea of a detailed document to help with RFPs for future organizers. really helps set the right kind of expectations for an organizer [14:23:58] <hwentlan> thanks samuelig [14:24:36] <mfilion> alright, thanks Lyude [14:26:07] <samuelig> hwentlan, yeah, https://www.x.org/wiki/Events/RFP/ is more oriented on high-level needs and what we are looking for in the proposal. The detailed document will explain more each of the topics covered in the wiki [14:27:20] <hwentlan> i've been looking to summarize for AMD folks what's needed based on previous proposals but obviously don't want to share the actual proposals outside the xorg board. so a detailed doc like that will be very helpful [14:27:55] <hwentlan> often organizers don't fully grasp what's involved with putting XDC together and that uncertainty can serve as a deterrent to even pursue a proposal [14:28:14] <samuelig> actually I shared them in the past when I see a strong org team behind the proposal, in order to facilitate them to craft a good proposal [14:30:35] <samuelig> but I shared them privately and asking for confidentiality, ofc. [14:31:08] <samuelig> usually because they don't know what we expect in the proposal [14:31:17] <samuelig> expect to see* [14:32:06] <danvet_> samuelig, I think for really interested people we could also share some past successful RFP slides [14:32:11] <danvet_> I think that would also help [14:32:19] <danvet_> and I think we've done this in the past too [14:32:26] <samuelig> yeah, that's what I did. [14:32:29] <danvet_> maybe don't pick the unsussecful ones [14:32:45] <danvet_> oh right missed that [14:32:56] * danvet_ kinda all over the place this week :-/ [14:32:58] <samuelig> oh sorry, maybe I explained badly, I was talking only about sharing winning proposals [14:33:26] <danvet_> anyway this is awesome, I feel adequately guilty for not yet having found time for the sponsorship drive :-( [14:34:38] <samuelig> hwentlan, so if that helps, feel free to share them. They are in the bod repo. Ask me if you need some advice. [14:35:20] <Lyude> danvet_: tbh I have a feeling I know about what those fireworks were and yeah i don't blame you [14:35:39] <danvet_> Lyude, yeah you work in the same team I've heard :-) [14:35:43] <Lyude> yep lol [14:36:43] <danvet_> so yeah good times right now here [14:39:28] <hwentlan> thanks, that makes things easier. i'll share it with an ask of confidentiality to the right people
